Applicant & Co-author Terms of Service

These terms ("Terms") apply to you when you register for an account or make a Submission on GoodSubmissions, a platform provided by Good Technologies Limited, a private limited company registered in England with number 11189871, whose registered office is at Jactin House, 24 Hood St, Manchester M4 6WX, UK ("we", "us" or "our"), available at goodsubmissions.org and any subdomain of it ("Website", "Service").
By registering for an account, or by accepting an invitation to collaborate on a Submission, you agree to be legally bound by these Terms and by our Privacy Policy. If you do not agree, you must not register for an account or make a Submission.
These are one of three sets of terms we use. Customers and their Admin staff are bound by our Admin Terms of Service, and Assessors are bound by our Assessor Terms of Service. If you are ever invited to act as an Assessor, additional terms — our Assessor Terms of Service — will apply to that role, and will be presented to you at that time.
Definitions
- Client — the organisation running the Programme you are applying to, or the Submission you are collaborating on.
- Programme — the application, entry, recruitment, competition, or other submission process run by a Client.
- Applicant — you, where you register for an account and start or own a Submission.
- Co-author — you, where an Applicant invites you to collaborate on their specific Submission.
- Submission — the application, entry, or nomination you (or an Applicant who has invited you as a Co-author) make or work on through the Service, including any document, form answer, image, audio recording, or video recording it contains.
Your account
Each Client's Programmes are hosted on a dedicated subdomain of the Website (for example, [client].goodsubmissions.org). Your account is created within, and is specific to, a single Client's instance of the Service — if you want to apply to Programmes run by different Clients, you will need to register a separate account with each.
You must provide accurate information when registering, and keep it up to date. You are responsible for keeping your password confidential and for all activity on your account. Tell us straight away if you think someone else has accessed your account without your permission.
You confirm that you are legally capable of accepting these Terms. If a Client's Programme is directed at, or may reasonably be expected to accept Submissions from, people under 18, that Client is responsible for making sure the necessary parental or guardian consent is in place — this is not something we check for.
The Programme is the Client's, not ours
We are not the Client, and we do not decide who is eligible to apply, what a Programme asks for, how it is judged, or what happens to your application afterwards. All of that is set and controlled by the Client. If you have a question about eligibility, timelines, or the outcome of your application, you should contact the Client directly, not us.
Making a Submission
You own the content of your Submission. By submitting it through the Service, you grant the Client, and us insofar as necessary to provide the Service, a non-exclusive, worldwide, royalty-free licence to access, store, reproduce, and process your Submission — including any personal data, document, image, audio, or video it contains — for the purposes of (a) administering the relevant Programme, and (b) operating, maintaining, and supporting the Service. Neither the Client nor we acquire any other ownership rights in your Submission by virtue of this licence.
You are responsible for the accuracy of your Submission and for making sure you have the right to submit everything in it (for example, that you own or are licensed to use any image, music, or footage you upload).
If you invite someone else to be a Co-author: before you do, you must have that person's permission to include their personal data in the Submission — including their name, and any biography, image, audio, or video content relating to them — and to invite them to collaborate on it. You agree to compensate us and the Client for any claim brought by, or on behalf of, that person or another third party if it turns out you didn't have that permission.
If you are invited to be a Co-author: the Applicant who invited you is responsible for having your permission before including your details in the Submission. By accepting the invitation, you also become bound by these Terms in respect of that Submission.
Information we will not ask you for through the Service
We do not process payments. The Service will not ask you for financial account details, bank details, or payment card information as part of a Submission, and Clients are contractually required not to request this from you through the Service. If any part of a Programme's questions or file uploads does ask you for this, please do not provide it and let us know at the email address below — we will remove it and flag it to the Client. If a Programme legitimately needs your bank details for another reason (for example, to pay out a grant or award you've won), the Client will need to collect that from you by some means other than the Service.
Acceptable conduct
You must not use the Service, or include in a Submission, any material that: (i) is threatening, defamatory, obscene, indecent, discriminatory, abusive, or likely to incite hatred; (ii) you do not have the necessary rights, licences, or consents to include; (iii) is illegal, or would give rise to civil liability, in any country; or (iv) is technically harmful, such as a virus or malicious file.
You must not use the Service to harm or attempt to harm anyone, including minors, or to send spam or unsolicited promotional material.
No fee; no warranty
We do not charge Applicants or Co-authors to use the Service. It is provided "as is". We do not warrant that the Service will always be available or free of error, and while we design it with accessibility as a core objective and take reasonable steps to meet recognised standards, we cannot warrant that it will meet every individual accessibility requirement or need.
Data protection
We act as a data processor for the personal data you provide when you register or make a Submission, on the instructions of the Client, who is the data controller for that data. Our Privacy Policy explains this, including who to contact if you have questions about how your Submission data is used.
Liability
We do not exclude or limit our liability to you for fraud, death, or personal injury caused by our negligence or wilful misconduct, or any other liability that cannot be excluded or limited under applicable law.
Subject to the above, our total liability to you in connection with these Terms or your use of the Service, whether in contract, tort, or otherwise, shall not exceed £100, and we shall not be liable for any indirect or consequential loss, loss of income, or loss of opportunity, including in connection with the outcome of any application you make through the Service.
Nothing in these Terms limits any right you have as a consumer under the Consumer Rights Act 2015 or other applicable consumer protection law, and nothing in these Terms is intended to exclude or restrict any right or remedy that cannot lawfully be excluded or restricted.
Suspension and ending your access
We, or the Client, may suspend or end your access to a Programme or the Service at any time if you breach these Terms, or where a Programme closes or is withdrawn. If your account is suspended or removed while you have a Submission in progress, we will, where reasonably practicable, give you the opportunity to export a copy of it first.
Changes to these Terms
We may update these Terms from time to time. Where a change is material, we will give you reasonable advance notice by email before it takes effect. A change will not apply retrospectively to a Submission that is already in progress, or has already been made, at the time notice is given — the version of these Terms in force when you made or started that Submission will continue to apply to it. If you continue to use the Service after the date a change takes effect, this constitutes your acceptance of the updated Terms for anything you do after that date. If you do not agree to a change, you should stop using the Service.
General
These Terms, together with our Privacy Policy, constitute the whole agreement between you and us in relation to your use of the Service. If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions will continue in full force.

Governing Law & Jurisdiction
These Terms are governed by the laws of England and Wales, and the courts of England have exclusive jurisdiction over any dispute arising from them. If you live elsewhere, you may also have the right to bring a claim in your local courts under applicable consumer protection law.
